Content Sharing

When an asset is uploaded to Portal3, it becomes available to all users with access to the Workspace in which the asset was uploaded. Likewise, projects and playlists created in Portal3 become available to all users with access to the Workspace in which the project or playlist are created. Assets, projects, and playlists can be shared to make them available to users in other Workspaces. 

Sharing Assets

You can share a single asset or share assets in batch. You must be in the original Workspace the asset was uploaded to in order to share it.

Sharing a single asset

To share an asset:

1. Select the target asset's original Workspace using the Workspace selector in the top navbar.
2. Click "Assets" in the left sidebar to see your asset library.
3. Click on the target asset to open the asset drawer.
4. Click the button, located in the top-right corner of the asset drawer.
5. Click "Share to" under the "Share content" title.
6. Click into the checkboxes for all of the Workspaces you'd like to share the asset to. To include all of the Workspaces nested within another Workspace, toggle the switch next to "Share with all sub Workspaces". 
7. Click "Apply". 

Sharing assets in batch

To share assets in batch:

1. Select the target assets' original Workspace using the Workspace selector in the top navbar.
2. Click "Assets" in the left sidebar to see your asset library.
3. Click on the checkboxes next to the target assets to select them.
4. Click the "Actions" button, located in the top-right of the screen under the searchbar.
5. Click "Share".
6. Click into the checkboxes for all of the Workspaces you'd like to share the assets to. To include all of the Workspaces nested within another Workspace, toggle the switch next to "Include all sub Workspaces". 
7. Click "Apply". 

Reviewing where assets are shared

To review what Workspaces an asset is shared to:

1. Click "Assets" in the left sidebar to see your asset library.
2. Click on the target asset to open the asset drawer.
3. Click on the "Workspaces" tab.

Removing asset sharing

To remove an asset from a Workspace, follow steps 1-5 outlined in Sharing a single asset or Sharing assets in batch. Then, uncheck the Workspaces which should lose access to the asset and click "Apply". 

Sharing Playlists

You can share a single playlist or share playlists in batch. You must be in the original Workspace the playlist was created in to share it.

Sharing a single playlist

To share a playlist:

1. Select the target playlist's original Workspace using the Workspace selector in the top navbar.
2. Click "Playlists" in the left sidebar to see your playlist library.
3. Click on the target playlist to open the playlist drawer.
4. Click the button, located in the top-right corner of the playlist drawer.
5. Click "Share to" under the "Share content" title, if it is not already selected. 
6. Click into the checkboxes for all of the Workspaces you'd like to share the playlist to. To include all of the Workspaces nested within another Workspace, toggle the switch next to "Include all sub Workspaces". 
7. Click "Apply". 

Sharing playlists in batch

To share playlists in batch:

1. Select the target playlists' original Workspace using the Workspace selector in the top navbar.
2. Click "Playlists" in the left sidebar to see your playlist library.
3. Click on the checkboxes next to the target playlists to select them.
4. Click the "Actions" button, located in the top-right of the screen under the searchbar.
5. Click "Share".
6. Click into the checkboxes for all of the Workspaces you'd like to share the playlists to. To include all of the Workspaces nested within another Workspace, toggle the switch next to "Include all sub Workspaces". 
7. Click "Apply". 

Reviewing where playlists are shared

To review what Workspaces a playlist is shared to:

1. Click "Playlists" in the left sidebar to see your playlist library.
2. Click on the target playlist to open the playlist drawer.
3. Click on the "Workspaces" tab.

Removing playlist sharing

To remove a playlist from a Workspace, follow steps 1-5 outlined in Sharing a single playlist or Sharing playlists in batch. Then, uncheck the Workspaces which should lose access to the playlist and click "Apply". 

Sharing Projects

A project can only be shared to member Workspaces of the Workspace where the project was first created (downward sharing). 

To share a project:

1. Select the Workspace where the project was first created using the Workspace selector in the top navbar.
2. Click "Projects" in the left sidebar to see your project library.
3. Locate the target project and toggle the switch in the 'Shared' column to share the project with all member Workspaces. 
   

   NOTE: If the 'Shared' column is not visible in the projects list, configure the page as outlined in The Projects Page.
